SNI Companies is looking for a Sales Support Administrative Assistant. The ideal candidate will have experience in the following:

Assist Outside Sales Engineers with, project management and customer service and work with the Office Administrator (OA) to assist in the running of the office
Sales Support

  • Relationship building with customers and factory personnel; liaison for Outside Sales Engineer
  • Interactive communication with Outside Sales Engineer, factory representatives and customer personnel to facilitate meeting project deadlines and customer needs
  • Multi-tasking and prioritizing daily tasks to provide unparalleled customer service
  • Assist with quoting jobs
  • Book a job, set up and manage a job file (manual/electronic) including proper documentation of notes & correspondence
  • Understand NTO (Notice to Contractor/Owner) process especially the timing required to ensure our ability to collect
  • Understand submittal process and how to create and utilize submittals
  • Understand how to maintain or increase profit levels in post-sale job management
  • Order Entry procedures
  • Complete electronic billing sheet (EBS)
  • Use manufacturers' websites for order status, tracking, submittals
  • Schedule/expedite delivery of ordered products
  • Understand freight claims; how to deal with damaged or shorted shipments
  • Process factory invoices/billing to customers
  • Process stock sales
  • Understand credit application process
  • Process credit card transactions/ forward order(s) as needed
  • Build professional relationships with customers & factory personnel; be a liaison for Outside Sales
  • Execute responsibilities with speed, accuracy and efficiency

Office Support

  • Assist the OA in answering phones, take off messages from receptionist desk and turn night phones on and off.
  • Assist the OA in distribution of faxes from the shared file twice daily
  • Monitor the Electronic Mail File and distributed if necessary.
  • Monitor the OA's email for lien release requests, invoices & accounting questions, when she is on leave from the office.
  • Assist the OA in registering incoming invoices, complete billing, and scan to Atlanta
  • Assist the OA in electronically depositing any checks that arrive at the branch on the day they arrive.
  • Assist the OA in processing Lien Releases
  • May need to notarize documents from time to time
