Orion is seeking Orion Maintenance Services (OMS) Coordinators to join our Orion Maintenance Services Team! The OMS Coordinator position will assist in organizing and supporting ongoing maintenance services activities. The responsibilities include but are not limited to, fielding phone calls, monitoring and scheduling project updates, supporting field team members, assisting with vendor partner management, organizing and participating in meetings, and performing other administrative duties to meet Company’s objectives.

Responsibilities:

  • Field phone calls from Customers, Partners, and Orion Team Members
  • Maintain and monitor ongoing maintenance service activities to show project progresses
    • Determine project changes
    • Assess project risks and issues
    • Communicate regularly with leadership to provide required status updates
    • Utilize Company core procedures for daily and weekly reporting
  • Support field team members with parts, supply, or technical requests
  • Build strong working relationships with Customers, Partners and Orion Team Members
  • Be readily available to react in emergencies and look for future developments, efficiencies, and growth to better serve Customers, Partners, and Orion Team Members
  • Partner in development of processes, procedures, and contracts to ensure success in meeting department’s goals and objectives
  • Attend/Participate in daily, weekly, quarterly meetings and trainings as directed by Company and required
    • Prepare necessary presentation materials for meetings
    • Document and follow up on important actions and decisions from meetings
    • Chair and facilitate meetings where appropriate and distribute minutes to team members
  • Provide administrative support as needed to department and internal/external teams

 Required Experience and Qualifications:

  • Associates degree in Business, related field, or equivalent years of education and/or experience
  • Three (3) years of experience in maintenance, related field, or similar role
  • Prior work experience in an office environment required
  • Ability to work effectively both independently and as part of a team
  • Knowledge of file management, transcription, and other administrative procedures
  • Competent time and project management skills with visual and presentation skills
  • Exceptional interpersonal skills, business acumen, and exemplary work ethics with confidence in interacting with members at all levels
  • Demonstrated flexibility and ability to perform in a rapidly changing, fast-paced environment and manage ambiguity and complexity on tight deadlines
  • Exhibits proactive attitude and strong work ethic; persistence and diligence in bringing projects to closure
  • Proficient in Microsoft Office products (Outlook, Word, Excel, Project, Power Point, etc.)
