General Description / Primary Purpose
This position works directly with the Manager or above to analyze academic programs and policies for accurate representation in systems and tools related to student academic success including but not limited to Degree Works, Banner, and other advising and student success technology tools. Collaborates with Academic Advising, Records and Registration, Academic Programs Committee, IT, and other campus partners as needed on academic program structure for optimal data flow and representation on degree audits, educational plans, and in the catalog. Provides functional support for technical upgrades and integrations with Degree Works, other advising and student success technology systems and tools as appropriate, including testing and assessment of quality assurance on systems and processes. Prepares training manuals and tutorials for students, advisors, faculty, and others as appropriate. Conducts training sessions for students, professional and faculty advisors, faculty, and staff. Assists with providing accurate information to advising professionals and faculty advisors, faculty, and staff for interpreting degree audits and resolving issues in support of student success.

Essential Duties

Job Function

  • Implements software and business practices to continue to meet student needs and State mandates regarding student success metrics
  • Analyzes and understands UNF academic policies and curriculum changes in order to collaborate with university partners for updating Degree Works, UNF Catalog and associated advising systems and tools as appropriate
  • Collaborates with academic departments and academic advisors to ensure academic requirements are shown accurately in Degree Works and UNF catalog and that systems optimize student success and tool adoption.
  • Maintains reporting processes and student success metrics from Degree Works and other relevant systems.
  • Assists in the process of creation, maintenance and optimization of Scribe code and educational plans based on pre-requisites and catalog requirements with the addition of new term catalogs.
  • Troubleshoots academic program requirements in the Degree Works degree auditing system.
  • Fully understands and maintains Degree Works applications, configuration tables and system settings and makes the appropriate adjustments as needed to support Degree Works functionality (Pre-requisite checking for registration, Academic Audits, Athletic Audits, Student Educational Planner (SEP), Course Program of Studies (CPoS), exceptions and reporting).

A Master's degree from a regionally accredited college or university in a directly related area of specialization; or a Bachelor's degree from a regionally accredited college or university and two years of experience directly related to the job functions.

Knowledge of curriculum and academic program structures and policies in a university setting. Excellent technical and analytical abilities. Ability to work independently and collaboratively as part of a team. Excellent interpersonal and communication skills. Ability to create/maintain reports and make recommendations based on data. Commitment to evidence-based business processes which support student success.

Preferred Qualifications: Experience in use of Scribe and Student Educational Planner in Degree Works or demonstrated experience maintaining comparable educational technology platforms. Experience participating in the implementation of Degree Works or comparable advising tools, preferably within Banner environment.

This position has been designated as a Campus Security Authority (CSA). This position has been designated as a CSA because it involves significant responsibility for student and campus activities and/or responsibility for campus security. As such, any person in this position must report to the University Police Department a crime or an incident that might be a crime that he/she becomes aware of. This position has a reporting requirement because the University believes that responsibility for students, campus activities and/or campus security will make the holder of this position someone members of the University community will see as an authority figure and someone to whom they can seek help. A CSA is not expected to investigate or determine whether a criminal incident actually took place. A CSA's responsibility is a duty to report. All positions designated as CSAs are required to complete an online or in-person training session.
