Robert Half Finance & Accounting is working with a cutting edge manufacturing firm to fill an Executive Assistant role. The Executive Assistant is responsible for providing administrative support to the Company executives, the

coordination of office operations, and the management of resources to facilitate organizational

effectiveness and efficiency. Flexibility, independent problem-solving abilities, and excellent communication

skills will be key characteristics of the successful candidate. This position will report directly to the Chief

Human Resources Officer.

PRIMARY DUTIES AND RESPONSIBILITIES:

• Serve as a liaison between company executives and internal/external peers, clients, board

members and other individuals or groups as needed

• Maintains calendar; includes managing meeting invites, meeting login information (if virtual),

booking meeting rooms, keeping executives on schedule throughout the day

• Ensure the executives are prepared for all meetings and appointments with appropriate materials

and information

• Coordinate travel arrangements and communicate them clearly to the executive(s) and/or

any requested visitors

• Assist in the coordination and logistics of meetings; including invites, booking rooms, travel

arrangements, ordering meals, preparing meeting information for all attendees, confirming

technology and/or materials are ready and distributed appropriately, being available for

questions, greeting attendees and making sure the event(s) run smoothly

• Welcome and host in-office guests, answer and direct telephone inquiries

• Produce professional quality reports, presentations, and briefs for company executive and/or

board meetings

• Track and submit all expenses and their coordinating receipts

• Read, review and prioritize emails appropriately while ensuring highest levels of

confidentiality

• Assists with company document creation by typing and formatting complex forms, letters,

speeches, reports, and other materials, usually requiring familiarity with specialized

terminology and working from rough draft; and proofreads completed work to check for

correct grammar, spelling, and to ensure proper formatting is used.

• Provides information for reports and records through research, data retrieval, compiling and/or

tabulating statistics, and organizing and presenting the information in useable and understandable

formats.

• Assist with coordination and planning of industry conferences, training labs, and other

company events

• Maintain an efficient documentation and filing system for both paper and electronic records

• Monitor office supplies and research advantageous deals or suppliers

• Responsible for overall office organization and tidiness

• Maintain a safe and secure working environment

• Perform other duties as required
