Administrative Specialist

Our client is global leader in healthcare and technology. They have been around for over 115 years and have a presence in 130 countries, driven to improve the lives of people everywhere. Is searching for an Administrative Specialist to join their team. This Admin Specialist is the first point of contact with an overall accountability for offering administrative support across the organization. This role will welcome guests and greet people who visit the business and coordinate front-desk activities, including distributing correspondence and redirecting phone calls. A successful Administrative Specialist should be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.

Administrative Specialist Compensation

  • $18-$20 per hour
  • Monday – Friday 100% on site

Administrative Specialist Responsibilities

  • Serves visitors by greeting, welcoming, and directing them appropriately
  • Notifies company personnel of visitor arrival
  • Maintains employee and department directories
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges
  • Manages multiple calendars for management
  • Establishes and maintains office files, schedules appointments, arranges meeting rooms, and catering as required
  • Orders office supplies as needed
  • Handles general facilities issues in conjunction with management
  • Coordinates physical security with President and if dependent upon, head of IT security
  • Monitors various email boxes and takes appropriate action as required
  • Updates and maintains pertinent business information via computer or department files
  • Assists with a variety of scheduled and unscheduled projects occurring in the Company at any given time
  • Prepares general correspondence, memos, proposals, agreements, charts, tables and graphs
  • Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
  • Performs other duties as assigned

Administrative Specialist Qualifications

  • 2+ years of receptionist/administrative experience/ facilities management
  • Proficiency in Microsoft Office Suite
  • Strong organizational skills managing multiple projects at once
  • Preferred ability to have had facilities experience in managing property oversight and physical security
  • COVID 19 Vaccination required
